How constituent information is handled.

This page describes the portal's current data practices. The Council Office should have Corporation Counsel/IT review final privacy, retention, and public-record language before formal launch.

Information collected

When you contact the office or open a complaint, the portal may collect your name, contact details, addresses or locations, issue description, service-request numbers, and files you choose to upload.

How it is used

Information is used to review, route, assign, follow up on, and document constituent-service requests and office communications.

What not to submit

Do not submit Social Security numbers, financial account credentials, passwords, medical records, or other sensitive information that is not necessary to understand the request.

Complaint-status lookup

Public status lookup requires a complaint number plus the email or phone number used when the complaint was submitted. Internal staff notes are not displayed to residents.

Records and legal requirements

Records submitted to a public office may be subject to applicable public-record, legal-hold, and records-retention requirements. Final policy language should be approved by the appropriate City legal and technology officials.

Security

The portal uses encrypted HTTPS in production, CSRF protection on forms, rate limiting on public submissions, and restricted admin access. No internet system can guarantee absolute security.
